• Protocol arrangements for Foreign Trade delegation / Dignitaries
• Receiving and see off the visiting delegations appropriately at the airport and coordination with Civil Aviation, airport authorities and CISF etc.
• Hotel accommodation and arrangement for transport, where required.
• Coordination with the Ministry of Home Affairs, Ministry of External Affairs, local administration, Police and Security Authorities and State Governments concerned in connection with the visits of delegations/ dignitaries to Delhi or another city.
• Arrangements for official lunches/ dinners, receptions during the course of trade negotiations, bilateral meetings etc. with visiting delegations/ dignitaries and liaising with Hotels for the purpose.
• Protocol accounts
• Incurring of expenditure on hosting trade delegations/ dignitaries from abroad also delegations going abroad.
• Preparation of expenditure estimates in connection with meetings with Trade delegation, obtaining financial approval and issuing sanctions thereof.
• Security and clearance of all bills relating to expenditure incurred on State.
• Processing payment of bills presented by State Governments for expenditure incurred by them on the visiting delegations.
• Facilitating arrangements for International Conferences by the Department and incurring of expenditure for the purpose.
• Facilitating issue of Official/Diplomatic Passports and visas to the officers of the Department and liaising with M/o External Affairs and foreign Missions in this regard.
• Safe custody of Passports of the officers of the Department.
• To receive and see of Minister/ Indian delegations/Senior officers of the Department going abroad.
• Air ticket bookings for official visits abroad/within India by officers of the Department and incurring of the expenditure involved from the related foreign travel/domestic travel head.
